JOB DESCRIPTION

Executive Legal Assistant provides high-level administrative and legal support to the General Counsel and Legal Department. This role requires exceptional organizational skills, attention to detail, sound judgment, discretion with confidential information, and the ability to manage multiple priorities and stakeholders in a fast-paced environment.

REQUIREMENTS AND QUALIFICATIONS

  • Demonstrated organizational excellence, attention to detail, and ability to manage competing priorities with minimal supervision
  • High level of discretion and professionalism in handling confidential and sensitive information
  • Experience supporting a General Counsel, legal executives, or a corporate Legal Department in a fast-paced environment.
  • Experience coordinating with outside counsel and cross-functional internal teams.
  • Familiarity with contract and lease management processes and tools.
  • Strong written and verbal communication skills; ability to draft and edit professional documents
  • Proficiency with Microsoft Office, including Outlook (calendar and email), Word (document drafting), Excel (tracking logs), and OneDrive (document management)
  • Proficiency with Adobe Acrobat for PDF creation, editing, and e-signature packages
  • Must have a valid driver's license and be insurable

DUTIES AND RESPONSIBILITIES

  • Manage General Counsel’s calendar, prioritize meetings, and coordinate internal/external scheduling and logistics, including agendas and materials
  • Maintain daily task lists, proactively track action items, and drive follow-ups to closure
  • Draft, format, proofread, and edit legal documents, correspondence, presentations, and reports, coordinate signatures and final execution
  • Prepare meeting materials and maintain organized, version-controlled files and document repositories
  • Assist with intake, review coordination, tracking, and status reporting for contracts and leases from initiation through execution and archiving
  • Maintain tracking logs, monitor approvals, and liaise with internal stakeholders and outside counsel to progress agreements to completion
  • Coordinate and support internal legal meetings; capture and distribute clear, timely meeting notes and action items to stakeholders
  • Maintain organized records and follow-up lists to ensure accountability and transparency
  • Monitor deadlines, statutory or contractual due dates, and internal milestones; ensure timely filings and submissions
  • Build and maintain tracker systems and reminders to mitigate deadline risk
  • Serve as a primary point of contact to coordinate with internal departments and outside counsel on legal matters and deliverables
  • Facilitate information flow, meeting logistics, and document exchanges with professionalism and urgency
  • Support compliance activities, including maintaining registers, tracking attestations, and coordinating training logistics
  • Assist with corporate governance tasks, such as preparing routine meeting materials and maintaining related records under attorney direction
  • Build strong working relationships across departments and with external counsel; communicate clearly and timely
  • Maintain accurate trackers, organized files, and reliable tickler systems for deadlines and deliverables
  • Proactively drive tasks to completion; anticipate needs and remove obstacles

Compensation $25.00/$40.00/hr.
